How to add a person, issue a PIN and access, what to do when someone leaves, and how to link them to staff management.
How to add someone
- Add the employee: name, role, venues.
- Issue a PIN for the register.
- If they need the back office or “Plus”, set an email and password.
- Check that they see exactly the venues they need.
Changing the PIN
The PIN can be changed at any time — for example, if the employee noticed a colleague peeking at the code. The old one stops working at once.
When someone leaves
Close their access. The person can no longer sign in to the register or the back office, but stays in the history: receipts, shifts and actions keep their author.
Link to staff management
If you keep a timesheet and payroll, the user account is linked to the person in staff management — then clocking in at the register goes into their timesheet.
FAQ
An employee works at two venues. This is one user account with access to two venues and, if needed, different roles in each.
Access has to be closed temporarily. Close it — and open it again later. There is no need to add a second person.
Two people with the same name. Add a surname: the name shows on receipts and in reports, and telling them apart will be the job of whoever investigates six months from now, not yours.
