Money in and money out
How to enter expenses, transfers between accounts, operation categories, and what goes into the money report.
An operation is any movement of money not related to a sale: rent, purchasing, salaries, utilities, a transfer between accounts.
How to enter one
- Choose the direction: income or expense.
- Set the account, the amount and the category.
- Add a comment — a month from now it will explain what this was.
- Save.
Categories
Categories are what the expense report will turn into. A sensible set for a restaurant: food purchasing, salaries, rent, utilities, equipment, repairs, marketing, taxes, other.
Twenty categories look detailed, but nobody will work out where to put the bill for filters. Ten to twelve is the working limit.
Transfers
A transfer between accounts does not change the total amount of money — only where it is. Taking cash from the register to the bank is a transfer, not an expense.
Link to receipts
Sales operations are created by the system itself when a receipt is closed. They are not entered by hand: otherwise revenue would be counted twice.
What the report shows
The money report shows income and expenses by category over the period and the movement on each account. Together with the sales report it answers the question “did we make money or not” — because revenue is not yet profit.
