Shift summary in Telegram

What the owner receives after a shift is closed, how to connect a chat, why the figures match the Z-report and what to do if the message did not arrive.

A shift is closed — the owner gets its totals as a message, without opening a laptop or asking the admin.

What arrives

The same figures in the same order as on the Z-report slip: venue, who closed the shift, opening and closing time, number of receipts, revenue, breakdown by payment method, tax, refunds, tips (cash tips separately), money for the neighbouring venue’s dishes.

Why the line order repeats the paper

The owner holds the slip in hand and checks it top to bottom. Rearranging the lines would make them search with their eyes for what used to be found by itself.

Why the figures match the Z-report

The message does not recalculate revenue. It receives the shift’s already calculated figures and only arranges them in lines.

This is not a small thing. Previously the Telegram summary was sent by the website, and it did not match the paper: the website added up both halves of a neighbour’s order, while the venue’s Z-report showed only its own. Both figures were right, but people saw a difference and stopped trusting both. Now the message is built by the register — the one that counts the money.

How to connect

  1. Create a chat or channel in Telegram and add the bot you were given.
  2. In the venue settings, the “Shift summary in Telegram” section, enter the chat ID — like -1001234567890 or @channel.
  3. Save. The next closed shift will arrive in this chat.

An empty field means the summary is not sent. That is a normal mode, not a fault.

The chat ID is not a secret, but the bot token is

The chat ID is set per venue and stored in its settings. The bot token lives only on the server, never goes into the database and is not shown in error messages.

What happens if Telegram is unavailable

Closing a shift does not wait for sending: the cashier gets the Z-report right away, and the message goes into a queue. If it was not delivered, the system keeps retrying with growing pauses.

If even that does not help, the line stays in the queue with an error. Silence would be worse here: it would read as “the owner got it”.

If the message did not arrive

  • check that the chat is set in the settings of exactly that venue;
  • the bot must be added to the chat, and for channels it must have permission to post;
  • group IDs start with a minus — it is easy to lose when copying;
  • the shift must be closed: the summary is sent on closing, not on a schedule.
